TOKYOCHARTER BUS

Event and festival shuttle buses from Tokyo

Exhibitions, concerts, sports fixtures and festivals bring big groups to one place at one time. A chartered shuttle collects your people from several pickup points, delivers them before the doors open and brings them back after the last encore.

Events we plan shuttles for

  • Trade shows and conventions at Tokyo Big Sight in Ariake and Makuhari Messe in Chiba.
  • Concerts at arenas and stadiums in Tokyo, Saitama, Kanagawa and Chiba.
  • Sports: league and international matches, marathons and team tournaments.
  • Motorsport at Fuji Speedway in Shizuoka, roughly 1.5–2.5 hours from central Tokyo depending on traffic.
  • Fireworks displays and local festivals in and around Tokyo.

Meeting time vs departure time

Every pickup point needs two times: the meeting time, when participants must be at the spot, and the departure time, when the coach leaves. We usually suggest a gap of 10–15 minutes so the group can be counted and luggage loaded without blocking the street. On an event day the coach cannot wait long for latecomers: one late passenger can make everyone miss the start.

One coach per pickup area, or sequential pickups?

We suggest the option that fits your numbers and pickup locations, and quote it per vehicle.

Event-day traffic and driver hours

Organisers of large events often designate areas for chartered buses, and roads near the venue can be closed or very slow. We coordinate with the organiser where needed and add buffer time. Late finishes and long return drives must fit Japanese driver working-time rules; for a very late end or a distant venue, a second driver or an overnight stay may be necessary.

Event-day bus areas and road arrangements are set by organisers and local authorities. We confirm them per event.

Frequently asked questions

Can one coach pick up from several places on the way to an event?

Yes, if the pickup points lie along a sensible route. Each extra stop adds time, so the first pickup starts earlier. For pickups far apart, one coach per area is usually more reliable.

What is the difference between meeting time and departure time?

The meeting time is when participants must be at the pickup point; the departure time is when the coach leaves, usually 10–15 minutes later. Put both on the pickup sheet.

Can you run a shuttle to Fuji Speedway on race day?

Yes, on request. Race days bring heavy traffic around the circuit, so we plan an early departure and confirm the bus parking arrangements set for the event.

What happens after a concert finishes late?

We agree a return meeting point away from the main crowd and plan the timing within driver working-time rules. A very late finish may need a second driver, which the quote then states.
